Privacy Policy

The Boston Demons Australian Football Club ("Boston Demons", "the club", "we", "us") collects and uses personal information to run the club, manage memberships, and keep members safe. This page explains what we collect, why, who has access, and what your rights are.
What we collect
Most data we hold comes from membership signups. When you purchase a membership through our checkout, the following is collected:
- Your name
- Email address
- Phone number
- Billing address
- Payment method information (last four digits of card; the full card number is processed by Stripe and never reaches us)
- For player tiers: training top size, emergency contact name, emergency contact phone
- Timestamp and IP address of your acceptance of the Waiver and League Policies
We may also receive information when you contact the club directly via email, Instagram, Facebook, or in person.
How we use it
- To run your membership: confirm payment, allocate you to a team, contact you about training, matches, social events
- To keep members safe: emergency contact information is held so a coach or club officer can reach your next of kin in a sports incident
- To comply with USAFL requirements: registered player data is shared with the United States Australian Football League for season eligibility, insurance, and competition records
- For occasional partner news: per the disclosure at signup, members may receive marketing emails from our partner B-Side. You can opt out at any time using the link in those emails.
Who has access
- Stripe. Our payment processor. Stores all payment-related data including emergency contact and training top size. Stripe is PCI-DSS Level 1 compliant.
- Cloudflare. Hosts the website and routes requests. Receives standard server logs (IP, user agent, page hit) but no submitted form data.
- USAFL (United States Australian Football League). Receives player registration information when members complete USAFL registration at usafl.com.
- B-Side. Partner organization that sends occasional marketing emails to members per the signup disclosure.
- Club committee members. A small group of volunteer club officers (President, Vice Presidents, Secretary, Treasurer, Member-at-Large) who manage roster and finances. They access Stripe to view membership data for roster work.
We never sell your information.
How long we keep it
- Active members: while you are a member of the club, plus one season after you leave (in case you re-join)
- Payment records (Stripe): kept for at least seven years as required by US tax and accounting law
- Marketing email lists (B-Side): until you unsubscribe
- Server logs (Cloudflare): typically 30 days, per Cloudflare's default retention
Your rights
You can:
- Ask what data we have about you. Email contact@bostondemons.com.
- Correct it if it is wrong.
- Have it deleted, subject to retention requirements. We cannot delete payment records during the Stripe-mandated retention period, but we can stop using your contact details for club communications.
- Withdraw consent for B-Side marketing emails at any time.
- Lodge a complaint with the appropriate data protection authority if you believe your rights have been violated.
Cookies and tracking
The Boston Demons website does not use third-party analytics, advertising, or tracking cookies. The site loads fonts from Google Fonts, which Google may log; this is the only third-party request the site makes during normal browsing. We do not run Facebook Pixel, Google Analytics, or similar tools.
Children's privacy
Players under 18 must have a parent or guardian sign the Waiver. We collect the same membership data for players under 18 (name, contact, emergency contact). If you believe we hold data about your child that you would like removed, contact contact@bostondemons.com.
Updates to this policy
If we change this policy materially, we will publish the updated version at this URL and note the new effective date. Continued membership after material changes constitutes acceptance.
